Data Enrichment for Small B2B Companies: When It Pays Off

Every enrichment vendor says you need it. For a small B2B company the honest answer depends on one number: how many new contacts you work per month. Here is the break-even in plain words, a worked cost comparison of manual research against tools at 100, 500 and 2,000 contacts, the tools with prices as listed in October 2026, the German data sources and GDPR duties, and the cases where enrichment is simply money thrown away.

"When does data enrichment pay off for a small company?" We hear some version of this question in first calls again and again, usually from a founder or sales lead who has just watched a Clay demo and wonders whether a team of five needs any of it. The honest answer depends on one number: how many new contacts you work per month. We build and run data pipelines for outbound in the US and the German-speaking market every day, so here is the break-even in plain numbers, the tools with their October 2026 prices, and the cases where enrichment is money thrown away.

The short answer

Data enrichment pays off once you work more than a few hundred target companies a month, or once you need verified emails and phone numbers at scale. Above that line, tools save dozens of research hours a month for a subscription in the double or low triple digits. Below it, manual research with LinkedIn Sales Navigator is often just as cheap and gives you better data, because the person researching also checks fit and finds the reason to write. Decide whom you target first, enrich second.

What enrichment actually adds: four layers

Enrichment means taking a thin record, often just a company name or a domain, and adding what you need to reach the right person with a reason. In practice it adds four layers:

  1. Company data. Industry, size, location, legal form, revenue indicators, technology in use. This answers whether a company fits your ICP at all.
  2. Contact and role. Who holds the role you sell to, with name, title and profile. This is where most databases are weakest in the German mid-market, because titles change and small companies leave a thin trail online.
  3. Verified email and phone. A work email that has been checked before you send, and ideally a direct or mobile number. Unverified emails cost you bounces, and bounces cost you deliverability.
  4. Signals. Job postings, leadership changes, funding, technology changes, website visits. Signals tell you when to write and what to write about, which matters more than the address itself.

Most small teams only need layers 1 to 3 from a tool. Layer 4 is where results come from, and it is the hardest one to buy off the shelf.

Manual research vs tools: the cost at 100, 500 and 2,000 contacts

A comparison is only as good as its assumptions, so here are ours. Change them to your own numbers and the logic still holds.

  • Research time: about 10 minutes per contact by hand. Roughly 4 of those go into checking fit and finding a reason to write, which you need with or without a tool. Roughly 6 go into finding the right person, the email and the phone number and verifying them. Only those 6 minutes are what enrichment replaces.
  • Hourly cost: 30 to 50 euros fully loaded, from an assistant at the low end to an experienced sales employee at the high end.
  • Fill rate: we assume a tool fills three out of four contacts and the rest are researched by hand. This is a planning assumption. Your real fill rate depends on your segment and needs a test.
  • Upkeep: running tools takes 3 to 5 hours a month at small volume (checking bounces, fixing lists, topping up credits) and 5 to 8 hours at 2,000 contacts.
  • Tool prices: list prices as listed in October 2026, in US dollars. LinkedIn Sales Navigator is left out because you use it in both routes.

Where the subscription numbers come from: at 100 contacts with emails only, the free plan of Prospeo (100 credits a month) or the smallest FullEnrich tier (29 dollars for 500 credits) covers it. At 500 contacts with a mobile number for one in ten, you need about 1,000 credits, which is 55 dollars a month at FullEnrich or Prospeo Starter at 49 dollars on monthly billing with 2,000 credits. At 2,000 contacts with a mobile number for one in four, you need about 7,000 credits, which means Prospeo Pro at 249 dollars a month (15,000 credits) or FullEnrich's 10,000-credit tier at 499 dollars.

What the table says in plain words. At 100 contacts, the tool saves a few hours, and setup, upkeep and the learning curve eat most of that. The person researching by hand also sees the website, the job postings and the real reason to write, which no email finder gives you. At 500 contacts, tools win clearly. At 2,000, manual research would need more than one full-time person, and at that volume you usually drop the gaps instead of researching them.

A few details that matter for a small budget. FullEnrich only charges for data that is found and verified, and unused credits roll over for three months on monthly plans. Prospeo's credits do not roll over, so buy the tier you actually use. Apollo's monthly billing gives far fewer credits than annual billing, and Clay bills Actions and Data Credits separately. Dealfront deserves a note for the German-speaking market. The company is based in Karlsruhe and came out of the merger of the German Echobot and the Finnish Leadfeeder. Its platform is now sold under the Leadfeeder name: dealfront.com/pricing redirects to Leadfeeder's pricing page, and the legal entity is still Dealfront Group GmbH. Because its data is built from European sources, it is worth testing against any US-built database before you sign. Cognism includes five seats in each package, which tells you it is priced for teams rather than for a first test.

German data sources and the GDPR

For company data in Germany, two sources beat most paid databases on accuracy. The Handelsregister has been free to search at handelsregister.de since 1 August 2022 and gives you the legal name, legal form, managing directors and every registered change. North Data aggregates registers and published filings into searchable profiles, with its Basic plan at 49 euros a month or 490 euros a year excluding VAT, as listed in October 2026. A new managing director in the register is a better reason to write than anything a database sells you. On the data protection side, three rules matter. This is not legal advice.

  • Legitimate interest. Processing business contact data for direct approach can rest on Art. 6(1)(f) GDPR when you address the person in their professional role, the topic is plausibly relevant to that role, and you document the balancing of interests.
  • Information duty. When you get personal data from a tool rather than from the person, Art. 14 GDPR requires you to tell them who you are, why you process the data, where it came from and how to object. The deadline is a reasonable period, at the latest one month after you obtained the data, and if you use the data to contact the person, at the latest with your first message. One clean sentence in the first message handles it.
  • Only enrich what you use. Data minimisation applies. Mobile numbers you will never call are a liability, not an asset.

GDPR governs the data, not the channel. In Germany, advertising email without prior consent counts as an unreasonable nuisance under the UWG, even in B2B. Presumed consent is the rule for phone calls to businesses, not for email, and Austria is stricter still. Enriched data does not change that. When enrichment is a waste of money

We see these five patterns in first calls again and again:

  • Tiny markets. If your whole market is 150 companies, research them by hand, once, properly. No subscription beats a person who knows every account.
  • A bad ICP. Enrichment makes a wrong list faster, not better. If you cannot say in one sentence which companies and roles you sell to, start with defining your ICP.
  • Enriching before deciding whom you target. "Let's enrich everything and see" ends with credits spent on 20,000 contacts of whom 2,000 are relevant.
  • Buying intent you cannot act on. Intent topics and website visitor data are only worth paying for if someone follows up within days with a message that fits the signal. Otherwise they are an expensive dashboard.
  • Phone numbers nobody calls. Mobile numbers cost ten times an email at FullEnrich and Prospeo. Buy them only for the contacts you will really call.
